Lead Groups and Sub-Groups: Designing Your Team Hierarchy

A flat group chat works fine for a five-person team. It falls apart the moment you have separate parking, interior, children's wing, and medical teams who each need to coordinate privately — while someone still needs to hear everything. GatherSafe models that reality directly instead of forcing you to improvise it with channel naming conventions.

The model

Every organization has one or more lead groups and any number of sub-groups underneath them. The rules are simple and fixed:

• Lead group members receive every message and every PTT transmission from every sub-group beneath them, automatically.
• Lead group members can transmit or message into any single sub-group, or broadcast to all of them at once.
• A sub-group can only communicate within itself — Parking Team members cannot see or hear Interior Team's channel, and vice versa.
• A person can belong to multiple sub-groups, and can be in the lead group and a sub-group simultaneously — a security director who also walks a post isn't forced to choose one view.

Why this beats a flat channel list

Every general-purpose walkie-talkie app treats channels as peers — you join the ones you need, and if leadership wants visibility into all of them, someone has to manually join every channel and constantly parse who's talking about what. That approach scales badly and leaks: someone eventually gets added to a channel they shouldn't have, or forgets to join one they should. GatherSafe's hierarchy enforces isolation and visibility as structural properties of the group itself, checked on every message and every socket event server-side — not a convention your team has to remember to follow.

A typical structure

Most churches land on something close to this:

• Security Lead (lead group) — the director and any assistant directors.
• Parking Team (sub-group) — traffic and lot coverage.
• Interior Team (sub-group) — sanctuary and hallway coverage.
• Children's Wing (sub-group) — nursery and kids' area, often with its own check-in concerns.
• Medical Response (sub-group) — trained first responders on-site.

With that structure, the Interior Team can coordinate freely without the Children's Wing hearing every word of it, while the Security Lead hears all four teams at once and can jump into any one of them — or all of them — the instant something needs coordination across teams.
